Minute: Peninsula Tennis Club Business Meeting

Monday, 1/15/07

Present: Laurel Cripe, Bob Ritchie, Casi Fors, Dave Shargel, Jem Gouge, Fran Burch, Rich Riski

Laurel reported that the PDN ad that ran 12/25 thanking donors to the Erickson project cost only $200 because it ran on a Monday or Tuesday.  Cost for other days is $400.  We’ll do another ad for the official opening.

Laurel reported that ASM signs will donate the cost of printing a donor banner ($500).

Those present reviewed the agreement that Laurel drafted for the presentation of the check for $16,400 to City Council on 1/16.  It spells out three basic stipulations regarding the club’s donation:

·        Construction must take place in 2007 or the funds must be returned to PTC.

·        PTC has second priority after the City Rec. programs for reserving court time for public events.

·        PTC can install amenities such as benches, screens and storage shed.

All agreed that it is important that these things be spelled out and put on record.  Jen mentioned that $3500 given to the City years ago but, because there was no formal agreement, the money was never spent on Erickson.  Laurel will get copies of the agreement to the City prior to the meeting so that Council members are not caught off guard.

There is no money in the budget for lights unless other costs can be reduced substantially.  The estimate to light all 4 courts is about $50K.  The hope is that PTC can find funding to do at least 2 courts.  If funding is not in place when construction begins pads and conduit will be put in so that lights can be easily added later.  Laurel has sent out letters to a bunch of foundations that could be sources of funds.

We still hope to find 2 or more additional Grand Slam corporate sponsors.  Sponsors names will be on a banner displayed for 6 months at Erickson, some sort of permanent plaque will probably be allowed by the City, and donors will receive print and web recognition.  OMC was discussed as a possible donor, Jen and Rich to pursue it.

Due to travel plans Becky will step down as Treasurer.  Casi Fors volunteered to replace her and was unanimously approved by those present.  Casi also agreed to work with Fran to eventually take over her lead role on the scholarship committee.  Fran is working on an application form for scholarship applicants.  The committee will then only have to review the scholarship notebooks for those who apply.

Bob mentioned that we need to pay for another year for the PTC cell phone this month to keep the same phone number.  $99 pays for a year of service and 250 minutes, which is enough to meet our needs. Casi agreed to take over checking the voice mail.  Laurel will purchase the card and Bob will turn the phone over to Casi. 

Rich is organizing another Australian Open social get-together, tentatively Friday, 1/26 at 5:30 at the Red Lion.  Details to follow.

Sat., 4/28 is a tentative date for a mixer with the PT tennis club.  PTTC is hoping to host a tournament, possibly in June.  They would really appreciate some planning help from someone from our club who’s been involved with tournaments. Volunteers?

It was decided that we would not do another Tennis Fest this spring, but instead organize an event around the grand opening of the new Erickson courts.

Laurel has volunteered to again take the lead with the Sequim Doubles tournament.  We need to find a new lead person for this year’s Saundra Kent.  Laurel will make the reservation with the City for the SK banner.

According to Dave, the Senior Games will be Sept. 14,15,16.

There will be an initial Adopt-A-Highway litter pick-up day in April IF our sign is up.  Details to follow.
